Description
Position Purpose
Serve as a key member of the Institutional Advancement Operations team and work closely across the organization to collect, manage and supply data for institutional advancement use. The Applications Data Management Specialist will perform daily maintenance of constituent records within internal and external applications; monitor and maintain data integrity; security and data access; report and query writing; perform imports and exports; and develop test plans, training guides and operational procedures.

Key Accountabilities
Ensure that Institutional Advancement (IA) demographic, event and giving data in the Academy’s Enterprise Resource Planning (ERP) system conforms to quality standards; while adhering to the Academy’s policies and business processes, and data management practices.
•Work collaboratively with the internal IA team members and other academy business areas to create, maintain and enforce data management procedures.
•Capture, analyze and maintain biographic, address, employment, giving and other IA constituent data.
•Collaborate with internal staff and external vendor partners to provide alumni, families and other constituents to IA systems and data.
•Create and maintain end-user training guides, business process documentation, and any supporting operational documentation.
•Support IA systems configuration, user setups and permissions.
•Manage and provide access to content on IA systems.
Support advancement programmatic initiatives that are dependent upon IA data:
•Collaborate with end users to define data needs to support fundraising initiatives.
•Analyze data to create reports and output, and to provide insight to support IA’s functional areas: major giving, annual giving, donor relations, alumni and parent relations, and operations.
•Educate frontline fundraising and support staff about IA systems functionality, data definitions and data transformation within the IA footprint.
Support operations colleagues to ensure a professional, efficient and service-oriented operation:
•Participate in a cohesive unit with strong customer service values that works in a collaborative, professional and positive manner.
•Provide data management and other information services support as assigned based on department priorities.
•Commit to professional development through active participation in cross-training, team meetings, seminars and campus-wide opportunities.
•Perform other duties as assigned.


Skills
Position Requirements
Education
•Associates Degree or related work experience.
Experience
•Minimum 2 years in an office or equivalent experience in an educational setting required.
•Experience managing a broad range of data in a relational database environment.
Skills & Knowledge
•Strong interpersonal skills with ability to develop and maintain collegial relationships.
•Excellent communication (written and verbal) skills.
•Excellent analytical and problem solving skills as well as a strong customer focus.
•A strict adherence to confidential policies is required.
•Ability to work independently and handle multiple priorities and deadlines simultaneously.
•Proficient in MS Office, web site navigation and email management.
•Preferred database and report writing knowledge.
•Willingness and ability to learn additional applications as needed.
•High degree of organizational skills with the ability to be flexible and multi-task with accuracy.
•Ability to follow verbal and written directions, maintain a professional demeanor and restraint at all times, including stressful situations.
